The Administration Department houses the City Council Office, the City Manager's Office, the City Clerk's, Community Outreach/Promotion, the Chino 3 Broadcast Team, Economic Development, and Information Technology.
Under general supervision, this position will serve in multiple capacities to accomplish the goals of the Administration Department.
This includes, but is not limited to:
supporting the City Council in preparing for regional committee assignment meetings/events, reviewing regional committee agendas having a thorough understanding and knowledge of the Inland Empire and different stakeholders, preparing, and submitting legislative reports to the City Council, schedule and conduct meetings with the City Council, and work as the Liaison between the City Council and other public agencies and regional entities.
Duties/Responsibilities The Management Assistant is a multiple position classification in the administrative series, which may be utilized in various City departments.
Essential Functions:
Conduct assigned project or program activities; perform research and statistical analysis; prepare and present reports of findings and recommendations as to appropriate action.
Compile information and prepare manuals, documents, resolutions, or publications relating to administrative, fiscal, or operational issues.
Attend regional committee meetings with City Council members, providing support and displaying a thorough understanding of matters included in the respective committee agenda(s).
As designated representative, participate in committee activities; contribute views and interests of the City in execution of assigned duties.
Perform assignments in support of the City Council, City Manager, and Assistant City Manager, as directed.
Coordinate with other public and private agencies, offices and elected and appointed officials, individuals and organizations on matters involving City Council Members.
Perform follow-up on City Council concerns as directed by the City Manager and Assistant City Manager.
Proofread and verify for accuracy all written work, including but not limited to, letters, resolutions, proclamations, plaques, certificates, and awards, checking for proper spelling of names, titles, dates, etc.

Attend events with, and on behalf of, the Mayor and City Council Members.
Establish and maintain intergovernmental relations between the City and outside agencies and elected officials, including but not limited to:
The City's Member of Congress Representative, California State Legislators, the Inland Empire Utilities Agency, the Chino Valley Chamber of Commerce, the Chino Valley Independent Fire District Board of Directors, the Chino Valley Unified School District Board of Directors, the San Bernardino County Transportation Authority Board of Directors, and the Southern California Association of Governments.
Interact with co-workers at all levels in the organization in a collaborative and customer service-oriented manner.
Maintain prompt and regular attendance.
Perform all duties within the context of the City's Mission Statement and Organizational Values.

Experience:
Experience working in municipal government and having conducted research, analysis, report writing, and budget preparation/management.
Knowledge of:
Principles of public administration, including the specialized areas of statistics, administrative research and analysis, and program planning.
Municipal organization and programs, local government relationships, and community relations.
Municipal ordinances and franchise agreements.
Principles of budget preparation.
Data processing systems/applications in administrative functions.

Principles of research, statistical analysis, and report preparation.
Ability to:

Training/Safety Requirements:
Job specific training will be provided according to class specification during work hours.
Special Requirements Possess a valid Class C California Driver's License and a satisfactory driving record.
Receive satisfactory results from a background investigation, a physical examination, which includes a drug screen, and an administrative review.
